Rental Company Participation and Settlements

Draft pending legal review — do not rely on this text until it is approved.

1. Platform role

ClickRent is an intermediary for displaying company offers and receiving booking requests. It does not replace the rental company’s vehicle handover and local contract obligations unless a written agreement says otherwise.

2. Licensing and verification

The company must provide accurate business details, licences, commercial registration, branch information and contact details, and update them promptly. The platform may suspend an account or hide offers when required documents expire or information appears incorrect.

3. Fleet, prices and availability

The company is responsible for accurate vehicle model, year, images, prices, deposit, mileage limits, insurance and availability. Availability must be updated when a vehicle is booked outside the platform; double bookings must be avoided and delivery issues reported promptly.

4. Agreed commission

The platform commission rate for each company is set in the admin panel and shown in its statement. Commission is calculated using the booking record, and the rate used for each booking is saved so later changes do not alter historical accounts. New rates apply to new bookings after saving unless a written agreement states otherwise.

5. Settlement calculation

The company statement shows recorded collections for confirmed or completed bookings, platform commission on collected amounts, net payable to the company, prior settlements and the remaining balance. Differences must be reviewed before settlement approval.

6. Payment and settlement evidence

The “Record payment” button does not initiate a bank transfer. Administration uses it only after payment has actually been made. Each record stores a reference, amount, date and note, reducing the open balance without deleting prior entries. Partial settlement deducts only the recorded amount; the balance becomes zero when recorded settlements cover the full net payable.

7. Collection at branch

When a customer chooses to pay at the branch, the company must collect the funds, issue a receipt and accurately record the payment. It must clarify whether the amount includes VAT, deposit or extras, and must never record funds that were not received.

8. Financial settlements and disputes

The platform keeps booking, payment and settlement records for reconciliation. The company must dispute differences within the period specified in the written commercial agreement and provide booking references and collection or transfer evidence. Approved entries must not be silently edited; corrections require a reversal entry or documented settlement.

9. Customer service and compliance

The company must deliver the vehicle under the booking and contract, handle complaints, accidents and breakdowns under applicable rules and insurance, and not impose fees that were not disclosed before booking.

10. Suspension or termination

Offers or accounts may be suspended where fraud is suspected, vehicles repeatedly prove unavailable, laws are breached or the partnership agreement is violated. Suspension does not remove prior amounts and obligations that still require settlement.

11. Agreement approval

These terms are an initial operating framework and should be attached to a signed commercial agreement specifying settlement frequency, invoicing and VAT, refund and dispute responsibility, and required data before commercial launch.
